What pharmacy software costs in Kenya

Optima is bought once, in shillings, per computer. There is no monthly fee, no renewal, and no price that changes after the first year. This page is the whole of it, including the parts most pricing pages leave out.

More than one till

A second or third till that connects to your main computer over your own local network is KES 5,000 per additional terminal until 31 December 2027, then KES 10,000, once each. The tills talk to the main computer directly, so daily work needs no internet at all.

What a subscription costs by year five

Most pharmacy software in Kenya is sold per month. Whether that is cheaper depends entirely on how long you intend to stay in business. Take whatever figure you have been quoted and find the nearest row.

This is arithmetic, not a claim about any particular product. A subscription buys things a one-time licence does not, including somebody else running the server. Optima does not need a server: it runs on your counter, which is why it can be sold once.

How you pay

Request a purchase reference in your account, then pay by M-Pesa using that reference and contact us to confirm. We check the payment by hand today and your purchase key appears in your account, ready for the desktop app. It is not instant, and we would rather say so than imply a checkout that does not exist yet.

If Optima does not do what this website says it does, tell us within 30 days of paying and we refund in full, back to the M-Pesa number that paid. The refund policy says exactly when we do and do not, in plain words.

Is VAT included?
Yes. KES 25,000 is what you pay. There is no figure added at the end, and the price on this page is the price on the invoice.
Do updates cost extra later?
No. Every update is included for the life of your licence. There is no renewal date and nothing about your copy stops working because time passed.
What about a second till?
Extra tills that connect to your main computer over your own local network are KES 5,000 per additional terminal until 31 December 2027, then KES 10,000, once each. A computer that is not connected to the main one is not a till on your network: it is its own KES 25,000 licence.
I have more than one branch.
Each branch runs its own copy with its own licence, and a second branch is discounted. Branches do not share one database or combined reports today.
What if I stop paying?
There is nothing to stop paying. You bought it once. If a licence is ever refunded, Optima returns to its unlicensed state and stops taking new sales, and your records stay on your computer and stay readable.
