Create your account, download either Windows installer, install Optima, and follow the setup guide. Your seven-day trial begins on this computer when the pharmacy is first set up.
Choose Create account, verify your email, and add the pharmacy name, town and phone number. Marketing messages are optional and off until you choose them.
Sign in and open Downloads. Choose Standard installer when the computer is online, or Full offline installer when it is not. Windows may ask you to confirm the publisher during installation.
The sidebar always shows the days remaining. Optima stays quiet while the trial is healthy and becomes more visible in the final two days. Your records remain yours throughout.
New sales pause. Records, reports, backup, export, account access and activation remain available. Expiry never deletes pharmacy information.
In your account, request an order and use its unique payment reference. Optima currently confirms M-Pesa payments manually. Do not pay twice if confirmation is delayed.
On the pharmacy computer open Settings, then Your Optima plan, and choose Activate Optima. Sign in to the page that opens, choose your pharmacy plan and approve this computer. Optima checks automatically.
Choose No internet on this computer, then Activate using another device. Scan the QR code with a phone, sign in and approve. Either connect the computer to the phone hotspot briefly or download the activation file and move it by USB.
The Computers page shows which named computers use Optima, when they were activated, when they were last seen and how many computers remain available.
Open your Optima account and choose Add computers. Create the additional-computer order, pay with its reference, then check for changes on the main computer before connecting the new till.
When the old computer works, open Your Optima plan there and release it, then confirm the move under Your computers. Install Optima on the replacement and activate it through your account.
Back up first. On the same computer, reinstall and restore your backup, then choose Activate Optima. The account recognises the same computer and reissues access without using another computer allowance.
Use Recover an earlier purchase on the sign-in or account page. Provide a verified purchase fact. Optima never assigns ownership using a phone number alone.
Keep the order reference and M-Pesa receipt. If payment succeeded but the page is still waiting, choose Check payment again or contact support. Do not create a second payment.
Leave the waiting request open: network loss does not erase it. For an expired or denied request, start again. If another computer is active, open Your computers and move or recover it first.
Internet is needed to download, approve online activation, manage the account and receive updates. Normal pharmacy work, sales, inventory, reports and backups remain local and do not need continuous internet.
A legitimately activated pharmacy continues operating without contacting Optima. Keep local backups and reconnect occasionally for updates. Additional tills use the pharmacy's local network, not the public internet.
Connect each computer to your Optima account under Settings, then Updates. Update checks can fail without interrupting pharmacy work and retry when connectivity returns.
One Optima plan covers its purchased number of computers. A main computer may serve additional tills on the local network. Copying activation files or databases to another computer does not create another valid activation.
Keep your order reference and the name shown under This computer, then contact the Optima team. Never send a password or M-Pesa PIN.
